DELEGATE INFORMATION

Registration and Information Desk

The Conference Registration and Information Desk is located at the entrance of Summit Hall (Room A) at Bankoku Shinryokan. The desk will be open from 13:30 on Sunday; 8:00 on Monday; and 8:30 from Tuesday through Friday.

Oral Presenters Information

The duration of each talk is 30 minutes for keynote lectures, and 15 minutes for invited and general oral presentations. These time allocations include the time for questions and speaker changeovers. The time for question is approximately 5 minutes. To allow sufficient time for questions and encourage lively discussion with the audience, please ensure that your presentation finishes well within the allotted time.

Presentation slides in a 16:9 aspect ratio are preferable.

A PC for oral presentations is available in each presentation room. If you wish to use the room PC, please bring your presentation on USB drive and upload the file during the break or lunch period preceding your session. Alternatively, you may use your own PC. HDMI connections will be available in all rooms; if your device requires an adapter, please bring the appropriate one.

Please note that presentation times cannot be changed or extended due to technical and connection issues. Therefore, we kindly ask all speakers to test their presentation in their assigned room during the break or lunch before their session.

Poster Presenters Information

Posters should be prepared in A0 portrait format, as the dimensions of a poster board are 90 cm wide × 210 cm high. Materials to put up posters, such as push pins, will be provided.

Please note that poster printing facilities will not be available at the venue.

Poster presentations will be held on Wednesday in three separate time slots:

  • Slot 1: 10:10-11:00
    (Transition time 11:00-11:15)
  • Slot 2: 11:15-12:05
    (Transition time 12:05-12:20)
  • Slot 3: 12:20-13:10.

Presenters are requested to display their posters before the start of their assigned time slot and to remove them promptly after the slot. Posters remaining on the board after the transition time will be removed by the Organizing Committee and will not be retained.

Poster Awards will be presented to outstanding presenters among young scientists. During the poster session, the eligible posters will be evaluated by adjudicators appointed by the organizing committee. Awardees will be announced on Thursday and the awards will be presented during the Award Ceremony on the same day

Conference App

This conference provides a smartphone app that will offer convenient access to the conference information, including the program, schedules, maps, abstracts, and the latest announcements. The app is available for both iOS and Android devices.

Internet

Complimentary Wi-Fi is available to the delegates of the conference. The network name and password will be provided in the conference rooms. Please note that the network is intended primarily for web browsing and access to web-based email services. Participants are therefore requested to refrain from bandwidth-intensive activities, such as connecting to virtual private networks (VPNs), downloading large files, or streaming media content.

Photo and Recording

Recordings of presentations or taking photos of presentation slides is strictly prohibited at this conference.

What to Wear? –Conference Dress Code

Okinawa remains warm in November with average high and low temperatures of approximately 25 °C and 20 °C, respectively.

The conference dress code is ‘casual’. Please feel free to wear whatever makes you feel comfortable. We particularly encourage delegates to wear ‘Kariyushi’, an Okinawan style of clothing that is well suited to the warm climate. Kariyushi wear will be available for purchase at Bankoku Shinryokan on Monday, Tuesday, and Thursday.

Please note that at The Busena Terrace, tattoos of any kind must not be visible anywhere on the hotel premises, including conference rooms, the lobby, restaurants, and other public areas. Please wear clothing that fully covers any tattoos.

Catering

Regular registration includes the Welcome Reception Sunday evening as well as lunch, and morning and afternoon refreshments Monday to Friday.
